Sales invoices
The Sales page shows all your invoices â those synced from your connected Xero account and any drafts created in eggz (for example by the AI assistant). Invoices represent money owed to you by your customers. Where an invoice came from matters: synced invoices are managed in Xero, while eggz-created ones can be voided or deleted here (see below). When you create an invoice, quote, bill, or customer account in eggz, the form includes a Currency picker. It starts on your organisationâs reporting currency, and the line-item amounts and totals follow whichever currency you pick, so a USD invoice reads in USD from the first line to the total.Invoice list
The invoice table displays:- Reference: Invoice number or reference
- Customer: Who the invoice is for
- Consultant: Who raised the invoice (if tracked)
- Status: Draft, Submitted, Authorised, Paid, or Voided
- Issue date and Due date
- Total and Balance (amount remaining)
- Currency
Invoice detail
Click an invoice to view the full detail page:- All fields from the list view, plus notes
- PDF download (if a file is attached)
- Payment date (for paid invoices)
- A full settlement history â every payment applied, in order
- Related records â a Customer card, and a Source quote card if this invoice came from a converted quote
- An Activity timeline of whatâs happened to the invoice
- Void or delete, from the More actions (âŻ) menu â see Voiding and deleting invoices
Customer, status, dates, and amounts are edited inline on the Sales list (above), not on this detail page.
Viewing on your phone
On a small screen, the document preview moves behind a Details / View document toggle at the top of the page â Details opens first so the fields youâre checking are front and centre, and View document shows the original file. The pageâs actions â things like Record payment or Download â stay pinned to the bottom of the screen, so you never have to scroll to find them. This layout is the same on every documentâs detail page: invoices, bills, receipts, and quotes.Settlement history
Every invoice detail page shows a Settlement panel:- Total, Paid, and Amount due â Amount due is the headline figure.
- A date-ordered list of every payment, credit note, overpayment, or prepayment applied to the invoice, each row showing its source, the amount applied, and the running balance left after it.
If a payment is later voided or unapplied, its row stays in the history â struck through, with a note explaining why (for example âUnapplied when the invoice was voidedâ). Nothing disappears from the audit trail.
Related records
Every invoice detail page shows a Customer card linking straight to that customerâs account, with a status line if it isnât the everyday Active (for example At Risk or Pending). If the invoice was created by converting an accepted quote, a Source quote card sits alongside it, showing the quoteâs reference, status, and amount. Bills show the same idea from the other side â a Supplier card, plus a card for every receipt attached as evidence. See Bill detail page.Nothing renders here if thereâs nothing to show â an invoice with no linked customer account, for example, simply has no card.
Activity
An Activity timeline on the detail page lists whatâs happened to the document, newest first â things like Voided, Draft created, Date set, or Converted to an invoice. Beyond ten events it collapses behind a Show all (N) link. Most entries are simply what you did, with no label. When something happened by AI or automatically, a small chip says so â AI agent or Automation â and a System chip marks events eggz itself triggered.The Activity timeline only appears once thereâs at least one event to show â an empty timeline isnât shown at all. Its absence doesnât mean nothing happened, just that eggz hasnât logged anything for this document yet.
Voiding and deleting invoices
What you can do to an invoice depends on its status â the same Status labels listed above. The action shows as an icon in the row on the Sales list, or in the More actions (âŻ) menu on the invoice detail page:
Once voided, a document owes nothing: it shows $0 due everywhere an amount due appears, including the settlement panel and the Outstanding view.
Cleaning up several drafts at once? Select them on the Sales list and click Delete selected â the button only enables when everything selected is a draft, so an issued or synced invoice can never slip into a bulk delete.
Only invoices created in eggz can be voided or deleted here. Invoices synced from Xero are managed entirely in Xero â see Xero integration.
Syncing invoices
Click the Sync button on the Sales page to pull the latest invoices from Xero.Invoices synced from Xero are one-way â changes you make in eggz (edits, deletions) donât sync back to Xero.
Publish a draft to Xero
Most invoices arrive by syncing from Xero, but you can also draft an invoice in eggz â including one the AI assistant prepares for you, or one converted from an accepted quote â and publish it to Xero as a draft in one click. See Publish invoices & quotes to Xero.Quotes
The Quotes page shows all quotes synced from Xero. Quotes represent potential future revenue in your sales pipeline.Quote list

Converting a quote to an invoice
An Accepted quote you created in eggz â not one synced from Xero â can become an invoice in one step.1
Click Convert to invoice
On an accepted quoteâs detail page, click Convert to invoice.

Confirm
A dialog explains whatâs about to happen: âA draft invoice is created with this quoteâs amount for you to review. Nothing is sent and your reports donât change until you authorise it.â It also flags the one irreversible part: âThe quote is marked Invoiced â this canât be undone.â Click Convert to invoice to confirm, or Cancel to back out.

Review the draft
eggz creates a Draft invoice for the quoteâs amount and takes you straight to it. A draft has no effect on your reports until you authorise it, so nothing about your numbers is final yet.
Convert to invoice only appears on a quote thatâs Accepted, created in eggz, and not already converted. A Draft or Sent quote needs to be marked Accepted first; a Declined quote canât convert; and a quote synced from Xero is converted in Xero itself, so the two ledgers never disagree.
Quotes in analytics
Quotes feed into the Quote Pipeline widget on the dashboard, showing the total value of your open quotes for the current month. Click the widget to drill down by month or source type.Quotes synced from Xero are one-way â you canât push changes back. But a quote you draft in eggz can be published to Xero as a draft.
