Three ways to do it. Two of them cost you four minutes a document. This is the third.

  1. From

Read off the document. Matched to your Xero contact. Never billed them before? eggz proposes a new contact. You say yes.

  2. ABN

One of the seven fields the ATO wants on a tax invoice. eggz checks all seven.

  3. Tax invoice

Becomes the reference on the bill. It is also how eggz catches a double. Receipt and invoice for one job get folded together, not booked twice.

  4. Issued

Dates the bill. The expense lands in the month it happened, and the BAS period it belongs to.

  5. Line items

Every line, with its quantity and price. Every line coded. eggz reads your chart of accounts out of Xero and matches each line to your own codes. Materials one code, freight another, same receipt. A line it cannot place goes to your default. Change any code before you approve.

  6. GST

Read off the document. Inclusive or net? eggz works it out instead of assuming: the two readings differ by exactly the tax, so only one hits the printed total. Neither one? It tells you. It does not publish a wrong number.

  7. Total

The amount, in the currency it was issued in. Not yours? Converted. AUD, USD, GBP, NZD, EUR, CAD, JPY, SGD. At the rate for the date on the document, not the day you filed it. Rate and source stored with the amount. AUD uses the Reserve Bank rate, same one the ATO uses. Every plan. No extra charge.

A draft bill in Xero, coded and complete. It stays a draft until you approve it.

Three ways receipts get into Xero

  1. ~4 min

    Type it into Xero yourself

Business then Bills then New bill. Supplier, date, reference, GST, every line. It works, and it is still how most of this gets done. Four minutes a document, by our own calculator. Ten hours a week on admin all up.

  2. + a check

Send it to a capture tool

Hubdoc, Dext, Xero’s own. Faster than typing. Each one gives you an address to forward to. So now you remember to forward, then go back and check what it read.

  3. four ways in

    Let eggz do it

eggz is an AI bookkeeper that sits between your email and Xero. Four ways in. Use all four.

    • It reads your inbox. Connect Gmail or Missive. The receipt is caught where it landed. You move nothing.
    • You forward it. Your workspace has its own eggz address. Anything that landed elsewhere goes there.
    • Grab it off the page. eggz Tabs, our Chrome extension, finds the bills and invoices on the page you are on. Tick what you want then done.
    • You upload it. Snap it then send it.

However it gets in: read then supplier matched then lines coded then draft bill waiting in Xero for your approval.

I’m on the tools, not on a computer. Receipts for parts from Reece or Tradelink used to get lost in the ute. Now, the email receipt from the supplier is automatically logged as a bill in Xero before I’ve even finished the job. It’s saved me from countless lost receipts and tax-time headaches.

The questions people actually ask

Does Xero scan receipts on its own?

It does. Xero has capture, and Hubdoc came with it. Both work the same way: move the document to a capture address, come back, check what it read. eggz reads it where it already is.

Do I have to forward anything?

Only if you want to. eggz reads what lands in Gmail or Missive. Anything that arrived elsewhere, a receipt sent to a colleague, a PDF in a supplier portal, forward it to your workspace’s own address. Or take it straight off the page with eggz Tabs. Or upload it yourself.

What happens to a paper receipt?

Snap it then send it. eggz reads it like any other attachment. The ones that already arrived by email you never touch.

Does it post straight into Xero?

No. eggz drafts the bill and stops. You approve it. Only then does it hit your ledger. How a receipt becomes an expense walks through the rest.

Which inboxes does it work with?

Gmail and Missive today. Xero as the ledger. The whole path is walked through in the email-to-Xero guide.
